# New administrator, start here

> An orientation for somebody who has just taken over ReclaimTime: what to check in your first hour, and what only we can give you.

Written for the handover case: you have inherited ReclaimTime from somebody, or you have just been given an admin account, and nobody has briefed you.

## First, get oriented

Sign in and look at four pages, in this order. It takes about twenty minutes and tells you the state of things.

| Page                      | The question it answers                                                                                |
| ------------------------- | ------------------------------------------------------------------------------------------------------ |
| **Workforce**             | How many accounts are there, and does the group tree still match how the teams are actually organised? |
| **Versions**              | How many machines are reporting, and how far behind is the fleet? Sort by last seen.                   |
| **Statistics**, last week | Does the data look plausible? Are there people with no data at all?                                    |
| **Settings**              | Are the working hours, timezone and version thresholds right, or left over from the rollout?           |

<Info>The two numbers that tell you most: how many accounts exist on **Workforce**, and how many reported anything recently on **Versions**. The gap between them is your leavers, your broken installs and your never-installed machines, and it grows quietly if nobody looks.</Info>

## Then fix the things that rot

In rough order of how much trouble they cause:

1. **Leavers still holding accounts.** Sort the Versions CSV by last seen. See [Someone has left](/guides/someone-has-left).
2. **Version thresholds that were set once and never revisited.** If **Latest Version** is higher than anything you have actually published, everyone reads Outdated forever and the page becomes noise. See [Settings](/admin/settings).
3. **The corporate list.** It is the list that ages worst. Entries added for a project that ended are still recording names, and a tool the teams have started using that nobody added is being recorded anonymously and reads as distraction. See [Targets](/admin/targets).
4. **Supervisors assigned to more than one group**, who therefore see nobody. See [Roles and permissions](/admin/roles).

## What only we can give you

These are not in the dashboard and not in this documentation. Ask us, and store them where your predecessor's successor will find them:

* The **uninstall password** for your installations. See [Uninstall](/uninstall).
* Your **installer package**, if your organisation has a customised one.
* Which **update channel** your fleet is on, and what has been published to it.
* The answers to a **security questionnaire**: hosting region, encryption at rest, backups, subprocessors, retention. See [Architecture and hosting](/it/architecture-and-hosting).

## Things that will surprise you

Collected from questions administrators have actually asked:

| Thing                                            | Explanation                                                                                                    |
| ------------------------------------------------ | -------------------------------------------------------------------------------------------------------------- |
| **Last Login** meaning different things per role | Desktop client for standard users, dashboard for everyone else. See [Accounts](/admin/accounts).               |
| A new starter who never appears                  | Almost always **Single Sign-On** not ticked. See [Add a new starter](/guides/add-a-new-starter).               |
| Nothing recorded in the evening or at weekends   | Working hours are a recording boundary, not a display filter. See [Settings](/admin/settings).                 |
| A version of `0.0.0.0`                           | A sign-in recorded before the client reported its version. Treated as unknown.                                 |
| Data appearing about 20 minutes late             | Upload cadence plus a 15 minute hold in the dashboard. See [How tracking works](/concepts/how-tracking-works). |
